The Administrative Assistant provides clerical and administrative support for the executive team and Wyomissing office operations.
This individual partners with and seeks direction from the Executive Assistant to the President / CEO.
Reporting into the office 5 days a week is required.
The following and other duties may be assigned as necessary:
Greets visitors to the office in a polite and professional manner Processes incoming and outgoing mail.
Coordinates all deliveries- receiving and shipping.
Orders and maintains inventories of company assets and supplies for Wyomissing office (i.
e.
all office and food supplies) Ensures appropriate par levels are in stock.
Stocks kitchen area and office supplies as needed.
Maintains and organizes the kitchen area.
Answers telephone & voicemail for the corporate office in a polite and professional manner and directs calls or messages to the appropriate individual or property.
Answers all inquiries for fax and emails.
Responds to guest concerns and inquiries.
Liaison with the building management group for maintenance and security access.
Prepares and verifies travel arrangements.
Coordinates the payments for invoices.
Coordinates scheduling and travel for candidate interviews.
Prepares new corporate team members workstations and offices.
Communicates with vendors and local IT for equipment and machine set up/removal, repair, and/or maintenance.
Assists with preparation of on-site & off-site events and meetings.
This includes but not limited to catering orders, set up/tear down, coordinating IT needs, etc.
Maintains corporate and property contact lists.
Prepares expense reporting as requested.
Supports and assists the Executive Team as needed.
Assists with human resource functions (e.
g.
, employee verifications) Assists with Penn Daily News Clips distribution Coordinates and Organizes Shred Destruction as needed.

Must be at least 21 years of age.
Associate's degree (A.

) or equivalent from two-year college or technical school; two years of applicable experience working in office environment; or equivalent combination of education and experience.
Must have skills in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
Must have excellent organization and communication skills.
Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Must have the ability to interact with guests, staff and colleagues and resolve problems and conflicts in a diplomatic and tactful manner.
Must be able to maintain confidentiality and a high level of professionalism at all times.
Must be able to work independently LANGUAGE SKILLS Ability to read and interpret documents in English, such as safety rules, operating and maintenance instructions and procedure manuals.
Ability to read and communicate verbally in English.
Written communication skills in in English may also be required.
REASONING ABILITY Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form.
Ability to deal with problems involving several concrete variables in standardized situations.
CERTIFICATES, LICENSES, REGISTRATIONS Employee must be able to qualify for licenses and permits required by federal, state and local regulations.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
